Vouch SG Pte Ltd provides operations software to hotels, museums, and similar properties. The company commits to strict privacy protection and handles data in compliance with GDPR, the Data Protection Act 2018, and the Personal Data Protection Act (PDPA).

This policy applies to website visitors and guests using Vouch’s web platform, mobile platform, or linked applications. Vouch acts as a data processor; the relevant property controls the underlying information. Guests should consult their property’s privacy policy for complete details.

Collection of Information

Legal basis for processing

Vouch processes personal data under one of these grounds:

  • Your prior consent.
  • A contractual relationship between you and Vouch.
  • Legal obligations applicable to Vouch’s activities.
  • Vouch’s legitimate interest in running its business, providing services, and improving network security.

Information you provide directly

Users may be asked to supply:

  • Contact information (full name, email, telephone, address).
  • Reservation details (confirmation number, room, arrival/departure dates).
  • Demographic information (gender, postal code, year of birth, preferences).
  • Requests and correspondence.

Not all information is mandatory, though some is required for certain services.

Information collected automatically

Vouch may automatically gather:

  • Location information from device GPS or Wi-Fi access points.
  • Internet Protocol (IP) address and device identifiers.
  • Device details (browser type, operating system, internet service provider).
  • Website activity (pages visited, time spent, links clicked, actions taken).

Information from other sources

Properties transmit guest information regarding communications, requests, maintenance, and service delivery to Vouch. Properties may use in-room entertainment systems to send service requests containing personal data. Vouch will share privacy policy contents with you within one month of obtaining your data, or at first communication, or when disclosing to another recipient.

Cookies, pixel tags, and similar technologies

Vouch and third parties use cookies, pixel tags, local storage, and other technologies to collect information automatically. Cookies are small text files stored in browser preferences. Most browsers allow blocking or deletion, though this may impair service functionality. The website includes Facebook “Like” buttons and LinkedIn features. These may collect your IP address, current page, and set cookies. Interactions are governed by the respective third-party provider’s privacy policy. Google Analytics and Google Analytics Demographics and Interest Reporting track visitor behaviour and demographics. Users can opt out via tools.google.com/dlpage/gaoptout.

  • Operationally necessary — technologies essential to site operation, access, security, and core functionality.
  • Performance related — technologies assessing website and application performance, visitor interaction, and content improvement through analytics.
  • Functionality related — technologies providing enhanced features such as recognising users upon sign-in and tracking preferences and past items viewed.
  • Advertising or targeting related — first- or third-party cookies and web beacons delivering interest-relevant content and ads on Vouch sites or third-party sites, measuring advertisement usefulness.

Users may opt out by blocking, deleting, or disabling technologies as their browser or device permits.

Categories and Use of Information

Personal data uses by user type

Website visitors. Vouch may collect personal data to provide customised content and experience-improving recommendations, serve targeted advertisements on Vouch services or elsewhere online, and send content and communications, including offers about Vouch and trusted partners’ products and services.

Property guests. Vouch may collect personal data to support contractual obligations to the property, provide customised content and experience-improving recommendations, send requested communications or those necessary for contractual obligations, and process payments for products and services.

Property staff. Vouch may collect personal data to provide materials about Vouch offers, products, and services, send requested communications or those necessary for contractual obligations, and support contractual obligations.

All users. Vouch may collect personal data to analyse service usage and guest data for understanding, improvement, and new service development; send requested communications or those necessary for contractual obligations; conduct surveys, research and evaluations; prevent potentially prohibited or illegal activities; and fulfil other purposes disclosed at collection or pursuant to consent.

Legal obligations

  • Audit and reporting, including internal and external investigations.
  • Accounting and administrative tasks.
  • Responses to competent public bodies and judicial authorities.
  • Legal claim enforcement or management.

Exceptional situations

Under PDPA Schedules 3 and 4, Vouch may use data when use is necessary to respond to emergencies threatening life, health, or safety, when personal data is publicly available, or when use is necessary for evaluative purposes.

Anonymous and aggregated information

Vouch may create anonymised and aggregated information, including de-identified demographic and location data and device information. Such information is not personal data and may be used for research, internal analysis, analytics, and other lawful purposes.

Disclosure of Information

Vouch shares personal data with visited properties as a byproduct of their platform use. Vouch does not control these properties’ privacy practices, which are not covered by this policy. Users should consult each property’s privacy policy.

Vouch shares personal data with third-party vendors and service providers offering business services such as IT, payment processing, marketing, analytics, content provision, and database maintenance. Payment information is used only to effectuate orders and may be stored by service providers for future transactions. Vouch prohibits service providers from using or sharing personal data except as necessary for contracted services or legal compliance.

Vouch may share personal data with corporate affiliates and subsidiaries for internal business purposes or to provide requested products or services, in connection with actual or proposed control changes (including website sales, mergers, consolidations, asset sales, or bankruptcy), and to respond to subpoenas, court orders, legal processes, law-enforcement requests, legal claims or government enquiries.

Retention of Information

Vouch retains personal data as long as you use its services or as necessary to fulfil collection purposes, provide services, resolve disputes, establish legal defences, conduct audits, pursue legitimate business purposes, enforce agreements, and comply with applicable laws.

Your Choices and Rights

You may enquire whether Vouch processes your personal data, request access, and ask for correction, amendment, or deletion of inaccurate information. You may contact Vouch to request access, portability, rectification, or erasure of held personal data.

You hold the following rights:

  • Access — receive a copy of your held personal data and verify lawful processing.
  • Rectification — request correction of incomplete or inaccurate data.
  • Erasure — request deletion of personal data where there is no good reason for continued processing.
  • Object — object to processing where Vouch relies on legitimate interest and your particular situation impacts your fundamental rights and freedoms.
  • Restriction — request suspension of personal data processing in specific scenarios.
  • Data portability — receive your personal data in a structured, commonly used, machine-readable format.
  • Withdraw consent and opt out — opt out of certain personal data uses and disclosures.
  • Lodge a complaint — contact the competent data protection authority directly.

To opt out of marketing, click the “unsubscribe” link within the communication. To opt out of other personal data processing or raise objections, contact privacy@vouchconcierge.com. Withdrawing consent may affect your ability to access Vouch services.

Children’s Privacy

Vouch’s services are not directed to children under 16. Vouch does not knowingly collect personal data from children under 16 without parental consent, unless permitted by law. If Vouch learns a child under 16 provided personal data, it will delete it in accordance with applicable law.

Third-Party Links and Content

Services may contain links to third-party content. Vouch does not control these parties’ privacy practices, which are not covered by this policy.

PCI Responsibility

Vouch does not store credit card data nor process payments. Vouch uses third-party payment gateways responsible for securely storing your credit card data in alignment with PCI DSS requirements.

Data Subject Requests

Contact Vouch’s data protection officer at privacy@vouchconcierge.com (Attn: Data Protection Officer) to review, access, change, correct, update, withdraw consent to, or provide feedback on personal data use.

Vouch does not sell or disclose your personal information for monetary gain or valuable consideration. Vouch provides operations software to hotels, which enter and use your personal information to provide you and other guests with services.

International Users and Safeguards

Accessing services from outside Singapore means your information may be transferred to, stored, and processed in Singapore. Where Vouch transfers personal data outside the European Union, it implements adequate safeguards as required by applicable data protection legislation, including European Commission Standard Contractual Clauses.

Security

Vouch uses reasonable measures to protect information from loss, theft, misuse, and unauthorised access, disclosure, alteration and destruction. Vouch maintains administrative, physical and technical security measures and utilises commercially reasonable practices to protect your data.

Changes to This Policy

Vouch may update this policy periodically. Material changes will be notified as required by applicable law. Your continued relationship with Vouch after posting or notifying of an amended policy constitutes agreement to changes.
